Zapier Forms: Connect Your Ovoform Forms to Thousands of Apps

Zapier forms are the fastest way to reach an app Ovoform does not connect to directly. Use Ovoform as the trigger and let each new response start a Zap that creates a record, sends a message or updates a row in whichever tool you use.

No credit card required. Unlimited responses. Zapier is a paid-plan feature, so check the pricing page for your plan.

What you can do with Ovoform and Zapier

Trigger

A Zap for every new response

A completed submission can start a Zap. Ovoform sends the answers to Zapier as soon as the response is saved, and Zapier takes it from there.

Test

Sample data while you build

When you set up the trigger, Zapier can pull your most recent real responses to use as sample data. If the form has none yet, Ovoform supplies a realistic example so you can map fields straight away.

Connect

Apps Ovoform has no native connection for

Project trackers, ticketing tools, calendars, email platforms and databases all work as Zap actions, so a form response can end up almost anywhere without code.

Choose

The official app or a catch hook

Sign in with the Ovoform app in Zapier, or paste a Zapier catch hook URL into Ovoform. Use whichever suits how you like to build your Zaps.

How the Zapier connection works

  1. Add Ovoform as the trigger

In Zapier, create a Zap and choose Ovoform as the trigger app, then sign in to your Ovoform account.

  2. Pick the workspace and form

Select the workspace and the form whose new responses should start the Zap.

  3. Test with sample data

Pull a recent response, or use the example Ovoform provides, and map its fields into your action.

  4. Turn the Zap on

Publish the Zap. Every new completed response now starts it.

Turn requests into tasks

Create a task in your project tool for every report or request, with the details from the form filled in.

Add event registrants to a calendar invite or an email list the moment they sign up, with no manual step in between.

Skip Zapier when there is a native connection

Zapier is a good fit for apps Ovoform does not connect to directly. For Google Sheets, Slack, HubSpot, Airtable, Mailchimp, Excel and Microsoft Teams, use the native integration instead. It has one less step that can fail, no separate task quota to watch, and setup that lives inside Ovoform.

What syncs, and what to know

With the Ovoform app in Zapier, the trigger is a REST hook. Zapier subscribes to a form, and Ovoform delivers each new completed response to it. If Zapier cannot use the hook, it can poll for recent responses instead. Deliveries are unsigned, and a failed delivery is retried up to three times. Responses sent through the app's hooks are not part of Ovoform's resync tool.

The data Zapier receives includes the response ID, the form ID and title, the submission time and the answers. Each question is also flattened into its own fields for the question and the answer, so you can map a single answer to an action without parsing. Use the fields keyed by question ID rather than by position, because they stay stable when you reorder questions.

The catch-hook option is simpler, and works without signing in: paste an HTTPS Zapier catch hook URL into Ovoform and each response is sent to it as a flat set of fields. Ovoform checks the URL on connect and on every delivery. Zapier's own limits apply on top of this, including task counts and multi-step Zaps, and those depend on your Zapier plan.

Zapier keeps its own run history for every Zap, and it is the best place to check whether a response reached its destination. Ovoform can only report on delivery to Zapier. A Zap that is switched off will not run, so if responses stop appearing in your destination app, check that the Zap is on and that it is watching the form you expect.

Zapier is a paid-plan feature in Ovoform, so check the pricing page for the plan that includes it. Ovoform itself is free to start, with unlimited responses on every plan. You will also need a Zapier account, and Zapier's own plan limits apply to the Zaps you build.

A new completed response to a form. You choose the workspace and the form when you set up the trigger, and each new response starts one run.

That depends on what you build in Zapier, not on Ovoform. Zapier sets its own limits on tasks, Zap steps and premium apps for each of its plans. Check Zapier's pricing for the number of tasks you expect, since each response that runs a Zap counts toward them.

Whenever one exists. Google Sheets, Slack, HubSpot, Airtable, Mailchimp, Excel and Microsoft Teams all have native integrations, which are set up inside Ovoform and do not consume Zapier tasks. Use Zapier for apps that are not on that list.
