What syncs, and what to know

Ovoform connects through Mailchimp's standard sign-in screen and works with the audiences in the account you connect. Subscribers are added or updated in Mailchimp by email address. Each completed response is queued after it is saved and sent shortly afterwards, so people filling in the form never wait on Mailchimp. If a write fails, Ovoform retries twice, roughly one and three minutes later, before flagging the integration. A submission that has no usable email address is skipped.

New subscribers are added to your audience with a status of subscribed straight away. Ovoform does not start Mailchimp's double opt-in confirmation email, so collect consent on the form itself, for example with a consent question, and keep that answer as your record of it. Existing members are updated but never re-subscribed if they had unsubscribed, and Ovoform does not handle unsubscribes, which stay in Mailchimp.

Tags are set on the integration and applied to every subscriber the form adds. They are not chosen per answer, and Ovoform does not assign subscribers to Mailchimp groups or interest categories. Merge field values are checked against the field type, so an answer that does not fit is left out and the subscriber is still added. When tags are configured, a resync runs one response at a time and is slower than a bulk import.

If something goes wrong, the integration shows an error status in Ovoform, and the person filling in your form still sees your normal thank-you screen. A revoked or expired Mailchimp authorization stops syncing until you reconnect, and responses that failed to sync can be sent again with a resync.

Because subscribers are added straight away, the form is where consent is captured. Say plainly what people will receive and how often, add a consent question they must accept, and keep that answer with the response. Every response in Ovoform carries its submission time, which gives you a dated record of when someone agreed.

Unsubscribes stay in Mailchimp. Ovoform never removes anyone, and it will not re-subscribe a contact who has unsubscribed, even if they submit your form again. To bring them back, they need to resubscribe through Mailchimp.
