How the HubSpot connection works

  1. Connect HubSpot

    Sign in to HubSpot and approve access to contacts, deals and contact properties.

  2. Map your questions

    Match questions to contact properties. An email address is required, and Ovoform falls back to the first email question if you have not mapped one.

  3. Decide on deals

    Optionally switch on deal creation and choose the pipeline and stage that new deals should start in.

  4. Test, then resync

    Submit a test response and check the contact in HubSpot. Existing responses can be sent across with a resync.

What syncs, and what to know

The connection uses HubSpot's standard OAuth sign-in and its contacts, deals and contact-properties APIs. Each completed response is queued in the background after it is saved, so respondents never wait on HubSpot. If HubSpot rejects a write, Ovoform retries twice, roughly one and three minutes later, before flagging the integration. A resync sends earlier responses in batches, but when deal creation is on it processes responses one at a time and is slower.

An email address is required. A submission with no email cannot create a contact, so it fails and the integration shows an error. Two defaults are worth knowing about: if you do not map them, Ovoform sets the lifecycle stage to Lead and the lead status to New, and this applies when it updates an existing contact too. Map those properties yourself if you want to control them. Because new contacts arrive as leads, any HubSpot workflow you have that enrolls on those properties will pick them up. Ovoform does not trigger HubSpot workflows itself.

Some things are not part of the integration. Ovoform creates contacts, notes and deals, but not tickets. It does not set HubSpot's original-source properties or any consent or legal-basis properties. If you need consent on the record, add a consent question to the form and map its answer to a custom property. Dropdown and checkbox properties only accept the values defined in HubSpot, and any other value is dropped with a warning shown in the setup screen. If a mapped custom property is deleted in HubSpot, Ovoform recreates it as a text property on the next sync.

If something goes wrong, the integration shows an error status in Ovoform, and the respondent still sees your normal thank-you screen. A revoked HubSpot authorization stops syncing until you reconnect, and responses that failed to sync can be sent again with a resync.

It connects through HubSpot's normal OAuth sign-in and uses the contacts and deals APIs, so what matters is whether your HubSpot account can authorize the connection and use those objects. On the Ovoform side, the HubSpot integration is part of the Business and Enterprise plans.
