Privacy Policy
This Privacy Policy explains how Ovoform collects, uses, stores, discloses, and otherwise processes information in connection with the Service. By using the Service, you acknowledge the practices described in this Privacy Policy.
1. Platform Operator
The Ovoform platform is owned and operated by VelocionTech Private Limited. References in this Privacy Policy to “Ovoform,” “Company,” “we,” “our,” or “us” refer to VelocionTech Private Limited and, where applicable, its affiliates and service providers involved in operating the Service.
2. Scope
This Privacy Policy applies to information collected by Ovoform through the Service, including when users create accounts, visit our website, use hosted forms, interact with integrations, contact support, or otherwise use the platform.
3. Information We Collect
Account Information
We may collect your name, email address, company name, authentication credentials or password hash, billing details, and account preferences.
Usage and Device Information
We may collect IP address, browser type, device information, operating system, timestamps, pages viewed, clicks, usage logs, feature interactions, crash reports, and other diagnostic or telemetry information.
Form and Response Data
We may process the content of forms created by users and the responses submitted to those forms, including attachments, metadata, and other information chosen by the form owner.
Support and Communications
If you contact us, we may collect the content of your communications and any information you provide in support requests, feedback, or account-related correspondence.
4. Controller and Processor Roles
Where a customer creates a form and collects information from respondents, the customer or form owner generally acts as the data controller, and Ovoform acts as a processor or service provider acting on the customer’s instructions. The customer is responsible for providing legally required notices, obtaining consent, choosing a lawful basis for processing, and responding to respondent or data subject requests where required by law. Ovoform is not responsible for how customers choose to collect or use respondent information.
5. How We Use Information
We may use information to:
- provide, maintain, support, secure, and improve the Service;
- authenticate users and administer accounts;
- process subscriptions, invoices, and billing events;
- analyze usage, performance, and product adoption;
- detect, investigate, and prevent fraud, abuse, spam, misuse, or security incidents;
- respond to support requests and communicate with users;
- enforce our legal terms and policies; and
- comply with applicable law, legal process, or enforceable governmental requests.
6. Cookies and Similar Technologies
We may use cookies, local storage, pixels, tags, scripts, SDKs, and similar technologies to operate the Service, maintain sessions, remember preferences, understand feature usage, measure performance, and support security. You can manage cookies through your browser settings, although disabling certain cookies may affect functionality.
7. Disclosure of Information
We do not sell personal data in the ordinary sense of exchanging data for money. We may disclose information:
- to hosting, analytics, communications, support, payment, and infrastructure providers that help us operate the Service;

8. Retention
We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, to provide the Service, to comply with legal obligations, to resolve disputes, to maintain security, or to enforce our agreements. We may delete or anonymize information when no longer needed, subject to technical constraints, backups, logs, legal holds, and operational requirements.
9. Security
We use measures intended to protect information, including encryption in transit, access controls, and infrastructure monitoring. However, no system is perfectly secure, and we cannot guarantee absolute security or prevent every breach, outage, or unauthorized access.
Backup Responsibility. The Service is not intended to function as your sole backup system. You are responsible for exporting and retaining your own copies of important data. Ovoform does not guarantee that data can be recovered in the event of deletion, corruption, compromise, or system failure, even if we attempt recovery.
10. International Processing
Information may be stored or processed in India or in other jurisdictions where Ovoform or its service providers operate. By using the Service, including from outside the United States or India, you acknowledge and agree that information may be transferred to, stored in, and processed in jurisdictions that may have different laws than those in your place of residence.
11. Platform Role and User Responsibility
Ovoform acts as a technology platform and service provider. Customers are responsible for the legality of their forms, notices, consent mechanisms, respondent communications, and data collection practices. Ovoform does not control or endorse user-created forms or the purposes for which customers collect or use information, and Ovoform shall not be responsible for damages, claims, investigations, or liabilities arising from customer misuse of the platform or information collected through it.
12. No Representation of HIPAA, GDPR, or SOC 2 Compliance
Ovoform uses certain security measures, including encryption in transit, but Ovoform does not represent in this Privacy Policy that the Service is HIPAA compliant, GDPR compliant, or SOC 2 compliant. Customers are responsible for evaluating whether their intended use of the Service is legally appropriate and for refraining from collecting or processing regulated or sensitive information unless they accept full responsibility for such use.
13. Children’s Privacy
The Service is not directed to children under the age of thirteen (13), and Ovoform does not knowingly collect personal information directly from children under 13. If you believe a child has provided personal information through the Service in violation of applicable law, please contact us.
14. Your Choices
You may update certain account information through your account settings. You may also contact us regarding access, correction, or deletion requests, subject to verification, technical feasibility, our role as processor, and applicable law. Where Ovoform acts only as a processor for a form owner, we may direct respondents to contact the relevant form owner.
15. Global Applicability
This Privacy Policy applies globally to use of the Service. If you access the Service from outside the United States or India, you acknowledge that your information may be processed under these terms and that local rights or restrictions may differ. To the extent permitted by law, your use of the Service indicates acceptance of this Privacy Policy and the associated Terms of Service.
16. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be indicated by a revised “Last updated” date and will become effective when posted, unless stated otherwise.
